1. Introduction

These Terms and Conditions ("Terms") govern access to and use of the aurora digital self-assessment platform ("aurora"), which forms part of Youth Access' Quality and Improvement Programme.

By accessing or using Aurora, you agree to comply with these Terms. If you do not agree with these Terms, you should not use the platform.

2. About us

References to "Youth Access", "we", "our", or "us" in these Terms mean Youth Access.

3. Purpose of the platform

Aurora is intended to support organisations that provide services to young people by:

  • Supporting service improvement and development.
  • Facilitating development activities.
  • Benchmarking information and sector-wide learning.

Aurora is intended for organisational self-assessment and quality improvement purposes only.

4. Eligibility and authorised users

Aurora may only be used by:

  • Participating organisations;
  • Employees, volunteers, consultants, or authorised representatives acting on behalf of those organisations; or
  • Individuals who have been expressly authorised by Youth Access.

Users must ensure that:

  • Information submitted is accurate and complete to the best of their knowledge;
  • They have appropriate authority to act on behalf of their organisation;
  • Login credentials are kept secure and confidential.

Users are responsible for all activities conducted using their account credentials.

5. User responsibilities

When using Aurora, you agree to:

  • Use the platform lawfully and responsibly;
  • Provide accurate and truthful information;
  • Maintain the confidentiality of account credentials;
  • Follow any guidance, instructions, or requirements communicated by Youth Access;
  • Notify Youth Access promptly if you become aware of unauthorised access or a security incident.

You must not:

  • Attempt to access information belonging to another organisation without authorisation;
  • Introduce viruses, malware, or malicious code;
  • Attempt to interfere with the operation, security, or integrity of the platform;
  • Use the platform for unlawful purposes.

6. Personal data and confidential information

Users must not knowingly upload or include:

  • Personal information relating to young people;
  • Identifiable client records;
  • Case notes;
  • Health information relating to service users;
  • Special category personal data unless specifically requested and appropriately protected.

Where such information is submitted inadvertently, Youth Access reserves the right to remove, redact, refuse, or securely delete the information.

The processing of personal information through Aurora is governed by the Aurora Privacy Policy.

7. Assessment content and evidence

Users are responsible for ensuring that all assessment responses, supporting evidence, and documentation submitted through Aurora:

  • Are accurate and up to date;
  • Do not infringe the rights of any third party;
  • May lawfully be shared with Youth Access for assessment and quality improvement purposes.

By submitting information, you confirm that your organisation has the authority to share that information for the purposes of self-assessment.

8. Assessment outcomes

Assessment outcomes, reports, recommendations, benchmarking information, and feedback generated through Aurora:

  • Are intended to support service improvement;
  • Do not constitute legal, regulatory, financial, safeguarding, clinical, or professional advice;
  • Should be considered alongside the organisation's own governance, professional judgement, and regulatory responsibilities.

Youth Access makes reasonable efforts to ensure the accuracy of assessment outputs but does not guarantee that outcomes will identify all risks, gaps, or areas for improvement.

9. Intellectual property

Unless otherwise stated, all intellectual property rights relating to Aurora, including:

  • Assessment frameworks;
  • Methodologies;
  • Question sets;
  • Reports and templates;
  • Software and platform content;
  • Logos, branding, and design elements;

remain the property of Youth Access or its licensors.

Users may use materials generated by Aurora for their own internal quality improvement and governance purposes.

Users must not reproduce, distribute, sell, modify, publish, or exploit Aurora materials for commercial purposes without prior written permission from Youth Access.

10. Data accuracy and verification

Youth Access may:

  • Review submitted information;
  • Seek clarification from participating organisations;
  • Request additional evidence where appropriate;
  • Verify information for benchmarking or legal purposes.

Organisations remain responsible for the accuracy of information submitted through Aurora.

11. Service availability

Youth Access will make reasonable efforts to ensure Aurora remains available and operational.

However, we do not guarantee that:

  • Access will be uninterrupted;
  • The platform will always be free from errors;
  • The platform will be available at all times.

Maintenance, upgrades, security updates, or circumstances beyond our control may occasionally affect availability.

12. Limitation of liability

To the fullest extent permitted by law:

Youth Access shall not be liable for any indirect, incidental, consequential, special, or economic loss arising from:

  • Use of Aurora;
  • Reliance on assessment outcomes;
  • Temporary platform unavailability;
  • Errors or omissions in information submitted by users.

Nothing in these Terms excludes or limits liability where such exclusion or limitation would be unlawful.

13. Suspension and termination

Youth Access reserves the right to suspend, restrict, or terminate access to Aurora where:

  • These Terms have been breached;
  • Unauthorised use is suspected;
  • Security concerns arise;
  • Continued access may compromise the integrity of the platform.

Access may also be withdrawn at the conclusion of a participation agreement or programme period.

14. Third-party services

Aurora may rely on third-party technology providers, hosting providers, analytics services, or other suppliers.

While Youth Access carefully selects its providers, we are not responsible for interruptions or failures resulting from third-party services beyond our reasonable control.

15. Changes to the platform

Youth Access may:

  • Update platform functionality;
  • Modify assessment criteria or frameworks;
  • Introduce new features;
  • Remove or replace platform elements as necessary.

Where significant changes affect users, reasonable notice will be provided where practical.

16. Changes to these terms

We may revise these Terms from time to time.

Updated versions will be published through Aurora and will take effect from the stated effective date.

Continued use of Aurora following publication of updated Terms constitutes acceptance of the revised Terms.

17. Governing law

These Terms are governed by the laws of England and Wales.

Any dispute arising from or relating to these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
